Effective IT Asset Tracking and Reporting

A consolidated and centralized approach to asset management is crucial for effectively managing computers, software and non-computer assets, but has proven to be an elusive goal when attempted with manual processes, spreadsheets and other semi-automated systems that can’t keep up with the pace of change and asset complexity. The reality of software compliance, the desire to implement industry best practices such as ITIL and to track resources from purchase to retirement, have cost most organizations an inordinate amount of time and resource with little success.

K1000 asset management saves organizations time and money by providing comprehensive and flexible asset management that is also easy to use and affordable. It unifies and automates both the non-computer and computer inventory asset management processes from deployment to retirement, including asset data audit, tracking, compliance and reconciliation. It tracks non-computer and computer assets in a single configuration management database (CMDB) including phones, PDAs, teleconferencing gear and other high value assets. Computer inventory and asset data is audited automatically on an on-going basis. And once asset data is rationalized, K1000 asset management enables asset tracking through the lifecycle including move, add, change and delete (MACD) activities. K1000 asset management ships with common license types for automatic out of the box support for storing asset associations such as vendor, contract, service and maintenance contracts, ensuring accurate tracking of the financial and service impacts of asset changes.

Adding and Modifying Asset Types

K1000 asset management is extremely flexible and allows administrators to easily create new asset types or modify existing asset types. New or modified asset types can be linked to any other asset type and support a comprehensive list of field types including attachments. This allows K1000 asset management to be quickly tailored to meet the asset management and compliance needs of any organization.

Managing Assets

K1000 asset management makes it easy to create, assign and modify assets. Computers are automatically added as they are discovered on your network. Assets can be quickly assigned or modified using the intuitive K1000 Web-based interface and are integrated across the K1000 functions, being reflected in the main inventory, service desk and easily tracked via the standard reporting functionality.

Software License Compliance

The K1000 inventory process discovers installed software on machines. Using drop down menu filters to define software asset groups, the associated licenses can be tracked against the number of installations using K1000 asset management. Tracking for software compliance can be automated. For example by defining filters to include all current, and more importantly future, versions of an application in the license group, an administrator can monitor the number of licenses installed automatically, even as new versions of an application become available. This is essential for managing software license agreements including upgrades and provides flexibility for negotiating ongoing volume purchases.

Software Metering

Software metering provides the ability to see what software is actually being used versus just installed. This allows unused licenses to be reassigned to other users or retired, significantly reducing software use-based licensing costs. Usage data includes a count of application launches, total minutes used and last used date. E-mail notifications and alerts can be configured and tied to contract expirations and renewals.

Asset History

K1000 asset management provides a full audit trail on all asset changes including software and hardware changes on computers. This allows for better asset management control and accountability.

Importing Assets

K1000 asset management makes it easy to leverage asset information from other systems such as databases, bar code applications and even Excel spread sheets. Simply browse to any CSV file and map its fields to K1000 asset management using the intuitive Asset Import Wizard.

Reporting and Reconciliation

K1000 reporting provides for quick and efficient asset reporting and reconciliation. Pre-packaged reports and an intuitive ad-hoc reporting wizard make it easy to document license compliance, and gain visibility into asset disposition and ownership.
